AI Voice & Chat

Help with routine questions, even when everyone's busy.

When your team is out on jobs, an AI assistant can help answer approved routine questions and collect basic customer info, with clear boundaries and a handoff to a real person when it matters. It's not magic, and it doesn't replace your team. It just covers some of the routine stuff so nothing falls through the cracks.

Optional AI Voice + Chat add-on: $399/month.

Setup and usage charges are extra. What channels, tasks, and allowances are included are confirmed before anything's turned on.

Help with routine questions. A real person when it matters.

AI assistant

I can help with service info and collect your request. What do you need?

Do you do work outside your usual area?

AI → handing off

That needs a person to review. Share your location and I'll pass it to the team.

Team

Hi! Let me check if we cover your area…

Fictional conversation. Actual behavior depends on your setup and configuration.

Start with what the assistant should know, and where it should stop.

An assistant is useful when the job is clear: explaining approved service info, collecting the details of a lead, or prepping something for your team to review. It also needs clear limits. It shouldn't invent a price, confirm something that isn't true, or make a commitment your business hasn't authorized.

A planning framework, not a claim that every task or channel is included.

Fictional example

When a question needs judgment, make that visible.

Example conversation

Assistant:

"I'm an automated assistant. I can help with approved service info and collect a request for the team."

Visitor:

"Can you take on a project outside your usual service area?"

Assistant:

"That needs the team to review. If you share the location, a brief description, and your contact info, I can pass it along for them to consider."

Example handoff
Topic
Project outside the usual area
Decision needed
Whether the business can take it on
Info collected
Location, description, contact details
Status
Waiting on team review
Commitment made
None

The useful outcome is a clear request for a person to review. No availability, price, appointment, or acceptance was promised.

Fictional conversation with made-up info. Real responses, record creation, and handoffs depend on the approved knowledge, connected channels, setup, and review process. AI can make mistakes.

Voice and chat may have different capabilities, charges, and handoff options. A live transfer, calendar action, or specific channel should never be assumed unless it's explicitly included and tested.

The setup matters as much as the assistant.

Approve the info.

Identify the services, area, policies, and answers the assistant may use. Remove unsupported claims and decide what should always go to a person.

Define the interaction.

Agree on the channel, identity disclosure, questions, any recording or transcription, and the point where the assistant stops or asks for help.

Test ordinary and uncertain questions.

Review examples that fit the task and ones that don't. Check that the handoff carries useful context without implying someone already responded.

Keep the info current.

Changes to services, availability, offers, or policies affect answers. Ongoing review and any monitoring must be stated in the scope.

This is help with defined work. It doesn't replace your team's responsibility for customer decisions or remove the need to check how the system behaves.

Understand the offer before turning it on.

AI Voice + Chat is an optional $399/month add-on. Setup and usage charges are extra. The proposal should identify what channels are supported, what tasks are included, usage allowances, rates, and the handoff process.

Is this included in every Zenjiva plan?
No. AI Voice + Chat is an optional, separately scoped add-on. Your plan and the AI setup need to be appropriate for the work you want it to support.
Can the assistant answer every question or replace our team?
No. Its knowledge and actions need defined boundaries. A person handles exceptions, fit, commitments, and decisions outside the approved task.
Will every uncertain conversation transfer to a live person immediately?
No immediate transfer or response time is promised. The handoff method and your team's availability must be confirmed and tested.
Is voice recording or transcription always enabled?
That depends on the setup. Any recording, transcription, disclosure, consent, retention, and access requirements must be reviewed before those features are turned on.
Does this guarantee every lead is captured or answered correctly?
No. AI, connected services, and workflows can make errors or go down. Scope, testing, and a human review process are necessary, outcomes aren't guaranteed.
